Exiles Members,
At Sundays business meeting we will be appointing the non-elected officers
of the Exiles. Descriptions of each position are below. Filling these roles
is critical to the smooth running of our club! IF you are interested in
stepping up and participating in the success of the Exiles, please show up
to Sundays meeting, or contact cocos at theexiles.org to let our
co-coordinators know you are interested. Note that if you are thinking
about taking on an officer position but arent sure, its possible to try it
out in an acting role for a while to see if its a good fit. Thats an
excellent way to help out and see if the job is right for you. The existing
officers are committed to mentoring anyone new in a role, so youll get
help.
If you care about the Exiles continuing to bring you programs, parties, and
special events, and continuing to represent the womens leather community in
SF, please consider one of these critical roles.
The business meeting is from 5-7pm at the Neibyl-Proctor Marxist Library,
6501 Telegraph in Oakland.
In addition to the duties below, all officers are expected to attend at
least ½ of the monthly business meetings (generally the first Sunday of the
month), and to participate in online email discussions about club business.
Officers to be appointed at the April Business Meeting:
Newsletter Editor:
· Prepares a monthly edition of The Lunatic Fringe and mails it to
all members on or before the first day of each month.
· Collects material for the newsletter: from officers in the form of
articles, reports, program announcements, and minutes; from members in the
form of articles, or letters to The Exiles or to The Lunatic Fringe; a
report on the previous month's program; calendar listings, news and
announcements of interest excerpted from mail sent to The Exiles;
classified, personal and display ads; short fiction or poetry submitted by
members shall be printed as space allows.
BOTTOM LINE: Be aware of all Exiles activities and publish them each month.
Must be diligent (and a bit pushy) in order to get content. Must be an
excellent writer and know MS Word well.
Outreach/PR Officer
· Arranges visibility activities such as e-blasts, social media
postings, listserve postings, press releases, and calendar listings for
Exiles events, information booths at appropriate public events and
newsletter exchange with similar groups.
· Arranges advertising, such as display ads, inserts, flyers, and
palm cards, for conferences and other events of interest to the Exiles.
· Assists the Orientation Officer by handling notice of scheduled
orientations.
BOTTOM LINE: Be aware of all Exiles activities and publish them all over. Be
able to write press release-type information for publication. Either
produce or work with volunteers to get ads and publicity cards published.
Orientation Officer:
· Conducts the Orientation required before anyone may become a
member.
· Manages materials and handouts supplied to orientation attendees
and new members.
· Determines if an organization offers an Orientation that is
equivalent in breadth and depth to the Exiles Orientation, for the purpose
of determining eligibility for reciprocity.
BOTTOM LINE: Run the orientations every 2 months or get someone to do so,
make sure all of the materials are prepared, recruit volunteers for each
orientation.
Doorkeeper:
· Opens the space before programs begin.
· Checks the membership card of each member and collects the member
door fee.
· Verifies the age, obtains the legal signature on the Waiver and
Liability Release, and collects the door fee from each non-member.
· Completes the Door Report and gives it, along with the money
collected, to the Treasurer or their designee.
BOTTOM LINE: Commit to attending most of the programs, make sure the door
materials are ready, be personable in greeting people, keep records of who
comes in and what they pay, produce a report after the program.
Sergeant-at-Arms:
· Provides security at the door for Exiles functions.
· Controls and, if necessary, closes admission when the presenter
begins the program and again after any intermission.
BOTTOM LINE: Commit to attending most of the programs, be personable in
greeting people, not afraid to send away unwelcome visitors at the door.
Web Site Manager
· Maintains and manages the official Exiles website.
· Updates website content in a timely manner.
· Maintains a record of all website-related accounts and their
passwords, and keeps this information available to the Coordinators.
BOTTOM LINE: Update the web site on a regular basis with all events,
happening, changes in the club, etc. Be technically savvy enough to handle
content organization, security, and other web-related issues that might come
up.
Volunteer Coordinator
· Recruits interested volunteers for Exiles program and outside
events where the Exiles have a presence, such as conferences and street
fairs.
· Maintains database of volunteers and helps to fill needed
positions as determined by the business group.
· Assists co-coordinators in planning the annual Volunteer
Appreciation Party.
BOTTOM LINE: Help solicit volunteers for all Exiles events in a timely
manner. Maintain personal relationships with volunteers. Be able to make
volunteers feel appreciated so they come back to help more.
